Music School Admin

This guide covers how to manage student enrollment and information in the Rising with Melodies Music School system, located at risingwithmelodies.org/school/.

1. Accessing the School Admin

The school admin is available at:

risingwithmelodies.org/school/index.html

Logging In

Go to the school admin URL above.

Enter your admin email and password.

Click Sign In.

Note: The school system uses a separate database from the concert site. Your login credentials are managed in the RWM Music School Supabase project under Authentication โ†’ Users.

2. Dashboard

The school dashboard gives you a quick overview of your student population.

Total StudentsAll students in the system, regardless of status.
ActiveStudents currently enrolled and attending.
InactiveStudents with any status other than Active.
Enrolled This MonthNew students added in the current calendar month.

The Recent Students panel shows the last 6 students added, with their status badge.

Click View All or + Enroll New Student to go directly to the Students page.


3. Students

The Students page is the core of the school admin. Navigate to it by clicking Students in the sidebar.

Enrolling a Student

Click + Enroll Student in the top-right area.

Fill in the student form. Only First Name and Last Name are required โ€” all other fields are optional.

Add guardian information in the Guardian section if applicable.

Click Save Student. The student appears in the table immediately.

Student Fields Reference

First Name Required
Student's legal first name.
Last Name Required
Student's legal last name.
Student ID
Unique identifier, e.g. RWM-001. Enter manually for easy reference.
Date of Birth
Used for age verification and demographic records.
Gender
Optional demographic field.
Nationality
Student's country of origin or nationality.
Enrollment Date
Defaults to today. Change if enrolling retroactively.
Status
Active, Inactive, On Hold, Graduated, or Withdrawn.
Email / Phone
Student's direct contact information (if applicable).
Address / City / State / ZIP
Full mailing address for records and communications.
Emergency Contact Name
Person to contact in case of emergency.
Emergency Contact Phone
Phone number for the emergency contact.
Notes
Any additional information about the student.

Student Status Values

StatusWhen to use
ActiveStudent is currently enrolled and attending lessons.
InactiveStudent is not currently attending but record is kept.
On HoldEnrollment is temporarily paused.
GraduatedStudent has completed their program.
WithdrawnStudent has left the program.

Guardian Information

The Guardian section captures parent or guardian details for the student, especially important for younger students.

First Name / Last Name
Guardian's full name.
Relationship
Parent, Guardian, Grandparent, Sibling, or Other.
Phone
Primary contact number for the guardian.
Email
Guardian's email for communications and invoices.
Occupation
Optional โ€” useful for financial aid assessments.
Tip: Leave the guardian section blank if the student is an adult enrolling independently.

Financial Aid & Scholarships

The school supports underprivileged students through financial aid and scholarship programs.

FieldWhat it means
Financial Aid Status: NoneStudent pays full tuition.
Financial Aid Status: PartialStudent receives a partial subsidy.
Financial Aid Status: FullStudent's tuition is fully covered.
Scholarship Recipient โœ“Check this box if the student has been awarded a formal scholarship.

These fields appear in the student list as color-coded badges โ€” Scholarship for scholarship recipients and Partial Aid or Full Aid for financial aid students โ€” making it easy to identify them at a glance.

Coming Soon: The Scholarships module will allow you to define scholarship programs, link them to donors, and formally award them to students.

Viewing & Editing a Student

To view full details, click View on the student's row. The detail panel shows all information organized into sections: Student, Guardian, Emergency Contact, Financial Aid, and Notes.

To edit, click Edit on the row (or Edit Student from the detail view). All fields are pre-filled with current values. Make your changes and click Update Student.

Deleting a Student

Click Delete on the student's row. A confirmation dialog will appear. Deleting a student is permanent and cannot be undone โ€” guardian records linked to that student are also deleted.

Important: Before deleting, consider changing the status to Withdrawn or Inactive instead. This keeps the record for historical reference without showing them as active.

Search & Filtering

Use the controls at the top of the Students table to narrow down the list:

  • Search box โ€” searches by student ID, name, or email.
  • Status filter โ€” show only Active, Inactive, On Hold, Graduated, or Withdrawn students.
  • Aid filter โ€” show only Scholarship recipients, Partial Aid, or Full Aid students.

Exporting to CSV

Click Export CSV to download a spreadsheet of all currently filtered students. The export includes all student fields, guardian contact details, financial aid status, and notes โ€” ready to open in Excel or Google Sheets.

5. Tips & Reminders

  • Only First Name and Last Name are required โ€” you can always add more details later by editing the student.
  • Use the Student ID field (e.g. RWM-001) to create a consistent numbering system from the start.
  • Set the Financial Aid Status and Scholarship checkbox when enrolling underprivileged students so they appear correctly filtered.
  • Instead of deleting students, consider setting them to Withdrawn or Inactive to preserve historical records.
  • Use the CSV export for monthly reporting, grant applications, or backup purposes.
  • The school system uses a separate database from the concert site โ€” changes here do not affect concert registrations.
